Description
Act as assistant director of dining or catering services by managing human and financial resources; developing policies, goals, and marketing strategies; contracting with vendors; developing annual repair and renovation plan; and overseeing computer system upgrades and changes. Reports directly to the director of food operations.
Manage operations of a large food service area or entity such as a dining hall by hiring, training, and supervising staff including dining service supervisors; managing overall inventory and product levels; working with vendors on product ideas and prices; enforcing health and safety standards; managing computerized systems including developing and analyzing reports; and working with upper management on policies, big picture/long term goals, marketing strategies, and product changes or additions. Includes establishment and oversight of a budget.
Directs and monitors the general operation of the dining services to ensure maximum effectiveness and compliance with departmental objectives; supervises activities of managers and provides general direction of employees in dining operations; establishes effectively channels of communication and exchanges ideas with students, customers, guests, and staff; systematically receives feedback regarding satisfaction; utilizes menu management system, and assists with strategic and operational planning for dining services.
Develops and implements effective procedures for the preparation and delivery of products to the customer; recommends modifications to operations; implements necessary changes to operations; and ensures accurate records are maintained.
Plans and coordinates training programs for dining services staff and student employees; assesses training and development needs; evaluates and revises hiring, orientation, on-boarding, and training materials and procedures; develops resources to meet training needs; and monitors progress of new employees.
Manages purchases of food and beverage supplies and equipment with vendors and dining management staff for use in the dining hall, catering, and retail operations; develops proper procedures for receiving, storing, and delivery of food and supply items to various campus locations; assists with the receiving of goods; conducts monthly inventory.
Utilizes and maintains menu management system, production and inventory management system and other systems on food and nutrition information, supplies, and vendors; adjusts and inputs current data into the systems to ensure accuracy to ensure resources are adequately and effectively utilized; and provides ongoing updates on item specifications, vendor and code numbers, pricing, and pack sizes.
Manages food, beverage, and equipment contracts for the dining service; secures food and beverage supplies and equipment for use in the dining centers and for catering and retail operations; specifies quantity, quality, and other specifications as required; establishes and maintains relationships with external vendors and contracts in the food industry including local providers; arranges schedules to accommodate deliveries and purchasing of food, beverage, supply, and equipment items required on short notice; and ensures and monitors food safety of food and beverage supply through on-going communication with culinary professionals and vendors.
Communicates purchase of special ingredients and preparation of special menus with dining management staff; coordinates with retail and catering leads to provide goods and services; ensures that food supplies on hand are adequate and efficiently used; and ensures menus, recipes, and costs are accurately projected.
Responsibilities
Supervises using excellent communication, leadership, and supervisory practices.
Maintain a complete understanding of the overall functions of the kitchen and service areas.
Supervises activities of dining managers and provides general direction of employees in dining operations; interviews and recommends hiring of new staff; determines general work schedules; instructs supervisory employees as to specific daily requirements; evaluates managers and ensures evaluations are completed on dining services staff; determines appropriate disciplinary action when necessary.
Directs the daily operations of a food stores system; hires, trains, and evaluates staff engaged in delivery; coordinated the movement of food, beverages, supplies and equipment to various locations on campus using vehicles and staff; monitors catering sales orders for accuracy; and communicates changes with culinary team.
Oversee a staff base of approximately 15 management and classified employees. The following positions directly report to the assistant director:

Qualifications
Bachelor’s degree in food service management, food systems management, dietetics, sustainable food systems, business, a related field, or a minimum of two years’ experience at the administrative level of a complex, foodservice and catering operation.
Experience with food and beverage inventory control, food production, handling and storage; quality control, health and safety, marketing, and merchandising.
Demonstrated ability to study, analyze, interpret, and execute solutions for complex challenges and/or opportunities.
Strong organizational skills and the ability to delegate appropriately, monitor progress, and meet deadlines.
Demonstrated commitment to develop and expand Montana Western’s Farm to College program and sustainability efforts.
Work standing up for long periods as needed in the operations; ability to work long hours, including evenings, weekends, some holidays and on-call work will be necessary; work at a desk with standard computer applications for long periods.
Ability to work unsupervised and complete work assignments within assigned timeframes.
Ability to follow established procedures and verbal or written instructions. Ability to communicate effectively both verbally and in writing.
Physical demands include prolonged standing, bending, and lifting up to 40 pounds to table height and 15 pounds above head, pushing and pulling carts and equipment, and exposure to heat, cold, and cleaning chemicals.
Ability to maintain positive, professional relationship with coworkers and customers. Ability to work with a variety of personalities.
Preferred Qualifications
One-year purchasing experience in a large volume food service operation.
Extensive knowledge of current trends and cutting-edge college and university residential and catering operations.
Proven track record of implementing inventory control best practices, food and labor cost management.
